Seller Report Instructions

For Broker Associates

 

AGENT DASHBOARD

This is where you can view the report (lifetime of the listing), print, customize, and send/schedule a report. You will see all of your listings. And, a listing will be available via your agent dashboard for 30 days after it is closed, expired, or canceled

LOG IN

Go to SellerReport.BairdWarner.com and enter your Baird & Warner email address and password. The link is also accessible via One.BairdWarner.com > Links > Org-wide Links > Seller Report Dashboard.

 

Note for Co-Listers:
Only the primary listing agent will have access to view and send a seller report. 
 

Note for Teams:
Teams have the ability to log in with their B&W team email address. Each team member will be able to see all of the team’s listings. Reports sent will come from your B&W team email address. If a team member logs in with their own agent B&W email address, they will only see their own listings.

 

REPORT

View the Report for the Lifetime of Listing

From the agent dashboard, click the Report link for a listing to see data for the lifetime of the listing. This will show you all of the showings, online activities, and open houses held.  

 

Print a Report
For Lifetime of Listing: Click the Report link and then click the PDF button in the upper right corner of the window. Wait for the report to download (it may take a few moments to generate) and then you can print the PDF.
 

For a specific date range: Send yourself a one-time report...this allows you to set a specific date range for the report. Once you receive the seller report email message, click the link to the report to open it online. Click the PDF button in the upper right corner. Wait for the report to download (it may take a few moments to generate) and then you can print the PDF.

 

SHOWINGS

ShowingTime activity is automatically fed into the report. If feedback is set in ShowingTime to be available to the homeowner, the feedback will also be fed into the report. 
You cannot edit or delete an entry that is fed into the report through ShowingTime. You do have the ability to manually add a showing and enter remarks.

 

Add a Showing

  1. From the agent dashboard, click the Showings link. 
  2. Click the Add New Showing button at the bottom of the page.
  3. Enter the date, time, and remarks (optional).
  4. Click Save.

 

Click the Back to Listings link to return to the main dashboard.

 

Edit a Showing that You’ve Manually Added

  1. From the agent dashboard, click the Showings link.
  2. Hover over the desired showing (it will be highlighted in gray) and click.
  3. Make changes and click Save. 

 

Additional Feedback (Questions and Answers)

If feedback is set in ShowingTime to be available to the homeowner to view, general comments will appear under the date/time of the showing on the report. If Q&A was provided, an “Additional Feedback” link will appear on the seller report. When clicked, a pop-up window will display showing feedback in question/answer format.

 

If your office isn’t using ShowingTime and you have feedback in a question/answer format, you can add it to the report. Just edit a showing that you’ve manually added and click the Add Question button, fill out and save.

OPEN HOUSES

The number of open houses entered into MRED will display in the summary section at the top of the report. You can add comments about an open house, and you can add a new open house for those that are not fed into the report (e.g., Broker Open).

 

Add an Open House

  1. From the agent dashboard, click the Open Houses link. 
  2. Click the Add New Open House button.
  3. Enter the date and time, and remarks (optional).
  4. Click Save.

 

Edit an Open House

  1. From the agent dashboard, click the Open Houses link.
  2. Hover over the desired open house (it will be highlighted in gray) and click.
  3. Make changes and click Save. 

 

Delete an Open House from the Report

The MLS automatically feeds all open house data into the report (if any duplicates appear, you have the ability to delete those entries.)

 

  1. From the agent dashboard, click the Open Houses link.
  2. Hover over the desired open house (it will be highlighted in gray) and click.
  3. Click the Delete button. 

 

ACTIVITY

You can add additional activities that you’ve done to market the property. 
 

Add an Activity

  1. From the agent dashboard, click the Activity link. 
  2. Click the Add New Activity button.
  3. Enter the date of the activity.
  4. Enter the type (for example, Advertising, Social Media, Direct Mail).
  5. Enter remarks (for example, sent 50 Just Listed postcards to subdivision).
  6. Click Save.

 

Edit an Activity

  1. From the agent dashboard, click the Activity link.
  2. Hover over the desired activity (it will be highlighted in gray) and click.
  3. Make changes and click Save. 

 

 

Delete an Activity from the Report

  1. From the agent dashboard, click the Activity link.
  2. Hover over the desired activity (it will be highlighted in gray) and click.
  3. Click the Delete button. 

 

SEND REPORT

You can send a one-time report and/or schedule a recurring report.

 

Send a One-Time Report

  1. From the agent dashboard, click Send now for the desired listing.
  2. Enter the recipient’s email (use a comma between multiple email addresses). You can also add yourself as a recipient.
  3. Enter the report timeframe — start date and end date.
  4. Modify the subject line and message text if desired. Note: if you modify the subject line and message text, it will remember your edits the next time you access this listing.
  5. Click Send Now.
  • A pop-up window will appear confirming the report was sent. Click outside the message window to close the pop-up. Click ‘Back to Listings’ to return to your dashboard.

 

Schedule a Recurring Report

  1. From the agent dashboard, click Schedule for the desired listing.
  2. Ensure the On button is selected.
  3. Enter the recipient’s email (use a comma between multiple email addresses). You can also add yourself as a recipient.
  4. Select the day of the week you’d like the report to send.
  5. Select the frequency to send the report (i.e., every week, every two weeks, or once a month).
  6. Modify the subject line and message text if desired. Note: if you modify the subject line and message text, it will remember your edits the next time you access this listing.
  7. Click Save.
  8. A pop-up window will appear confirming the report is scheduled to send. Click outside the message window to close the pop-up. Click ‘Back to Listings’ to return to your dashboard.

 

Turn off a Scheduled Report
 

A scheduled report will continue to send until the property is canceled, expired, or closed. You can turn off the report so it does not send (e.g., under contract, the seller’s on vacation).

  1. From the agent dashboard, click Schedule for the desired listing.
  2. Click the Off button.
  3. Click Save.

 

 

KVCORE LISTING TRAFFIC REPORT

The Listing Traffic Report in kvCORE reports the number of online views for a property, which the new Seller Report now includes. If you have this feature turned on in kvCORE, to disable the Listing Traffic Report, go to your CRM, open the seller’s contact record, and remove the MLS ID from the Listing Traffic Report field.
