TRNKEY - DocuSign Rooms Integration

Overview

The TRNKEY and DocuSign Rooms integration sends your clients to TRNKEY as leads when a room goes under contract. It sends a lead only for the side you represent: a buyer lead, a seller lead, or both when the room represents both sides.

A room is sent when:

  • It is marked Under Contract, and
  • It has an actual or expected closing date.

How do I set up my Integration?

  1. Log into API Nation.
  2. Go to the TRNKEY page by searching for TRNKEY in the Applications Marketplace, or by clicking on this link.
  3. Search for DocuSign Rooms, or click on this link.
  4. Find "Rooms (DocuSign Rooms) to trnkey Leads" and press "Activate".
  5. On the next screen, press "Add a New Account" and type in the email address you use to sign in to TRNKEY. A password is not required.
  6. On the next screen, select an existing DocuSign Rooms connection and click "Connect", or press "Add a New Account" and sign in to DocuSign.
  7. On the settings page, choose your DocuSign Rooms account under Select Account (required).
  8. Continue to the next page to finish. Your integration is now set up.

Workflow Settings

You can change which rooms are sent to TRNKEY.

DocuSign Rooms-based Filters

  • Select Account (required): The DocuSign Rooms account to read rooms from.
  • Select Office: Only rooms in the selected office are sent. Leave it on "All Offices" to include every office.
  • Sync all rooms on first run: If selected, all rooms in the account (allowed by the other filters) are checked on the first run, starting with the oldest.
  • Sync Rooms From: Only rooms updated after the selected date are checked on the first run. This setting only works when "Sync all rooms on first run" is also selected.

Filter

The integration includes a filter that only lets through rooms that are Under Contract and have an actual or expected closing date. You can add more rules. Select "Advanced Mode" and "Add Filter". Each filter you add is one more requirement a room must meet to be sent.

A filter has three parts:

  • On the left is the field the rule checks.
  • In the center is the rule, chosen from a dropdown menu.
  • On the right is the value, such as text or a date.

Fields

These fields are sent from DocuSign Rooms to TRNKEY:

  • Vendor ID: The room ID, followed by "b" for a buyer lead or "s" for a seller lead.
  • First Name, Last Name, Email, Phone: From the first buyer on a buyer lead, or the first seller on a seller lead.
  • Additional Contacts: Up to three more buyers or sellers on the same side.
  • Street, City, State, Postal Code, Country: From the room's property address. "USA" is sent as "US".
  • Closing Date: The actual closing date. If there is none, the expected closing date.
  • Referred By: The first agent on the side you represent. If there is none, the room owner.
  • Associated Agent: A person in the room whose role is Transaction Coordinator, TC or Admin. If there is none, the second agent on your side.
  • Additional Associated Agents: Any other coordinators, admins or agents found.
  • Company: Set to "DocuSign Rooms".
  • Lead Source: Set to "DocuSign Rooms".

FAQ

Q: Which side does a room count as?
A: The room's transaction side decides. Buy rooms send a buyer lead, sell rooms send a seller lead, and rooms that represent both sides send both. Refinance rooms are not sent.

Q: I updated my room in DocuSign Rooms. When does it sync?
A: The integration runs every 15 minutes and picks up changes at the start of each run.

Q: I set a "Sync Rooms From" date, but older rooms did not sync.
A: Turn on "Sync all rooms on first run" as well. The date only applies when that setting is on.

Q: I selected an office, and no rooms are syncing.
A: Check that the office still exists in your DocuSign Rooms account. If it does not, no rooms are found and no error is shown.

Q: Why was my room not sent?
A: Check that the room is marked Under Contract, has an actual or expected closing date, and has a buyer or seller with a name on the side you represent.
